Let’s get the ball rolling with a call. This will give us the chance to understand your business or project and the end goal. During this call, we will try to discover any choke points, bottlenecks and areas of your business that we think could be holding you and your profit potential back. As experts in professional outsourcing, we love to hear about all things staff-related – where are your current gaps? Are you struggling to find the right people at the right price? Are you or your team juggling tasks and roles? At this point, it’s just a call – nothing serious and no commitment. We aren’t pushy first daters! We just like an informal chat and a chance to get to know each other a little better. What will we discuss in our first call? The aim of our first call is get to know each other and allow us to start to get a good understanding of your business. We’ll ask you all about your current business model, your aims and goals as well as any weak points that you think may need strengthening. Can you give me a price estimate? We sure can. You will finish our call with a clear outsourcing plan with structure, processes and pricing ready for you to move forward building a high performing off-shore team. Is there a charge? At this point, it’s just a no obligation discovery call. There is no charge or fees whatsoever at this point – it’s just an informal chat.
Following our call, we will go away and put together an action plan for your business or project. We really do our homework when taking on new clients. We do this to make sure that we fully understand how you run your business, your market and your goals inside and out. Our research allows us to paint an incredibly detailed picture of your business, culture, and existing teams. This allows us to be 100% confident that we can recommend the perfect person to click with and you and your team. Depending on your needs and aims, our proposal will address staffing solutions, utilising our hand-picked virtual assistants (VA) based in the Philippians. Our VA recommendations will address any business problem areas that we identify as slowing your growth and potential development. We have fully trained copywriters, advertisers, graphical designers, administrators, systems experts (and more) ready and waiting to be seamlessly integrated into your business. And where your business niche requires something more specific, we have a dedicated recruitment and training team to ensure that we can find the right people for your job. WV Virtual’s rigorous training and recruitment processes ensure that we only ever arrange the absolute best people for your needs. If we wouldn’t be happy to work with someone ourselves, we will never recommend them to you. How do we screen applicants? We measure cognitive abilities, English skills, and personality characteristics as part of an extensive battery of tests. We also can administer technical, or job-specific tests you’d like the applicants to take. We’ll present a short-list of candidates to you for final interviews. Can I interview the Candidates? Yes. We encourage our clients to do the final interviews with shortlisted Candidates. Usually the final interview is done using Zoom or Skype. Or, you can leave the selection to us, and we can decide. Recruitment usually takes 2-3 weeks. What about pay and benefits? We manage the pay and benefits of the staff and remit money to the following government agencies:
Once you are happy with our proposal, we crack our knuckles and get to work. The thing that sets WV Virtual apart from other outsourcers is the level of detail, care and attention that we put into making the integration of your new team member(s) as seamless as possible. Before coming on board, all new appointments will undergo 14 days of intensive training to learn all of your unique processes, systems and business requirements. Following their training, each VA will then be assessed by us personally to ensure that they meet our strict service standards. This step is essential for us as a final check before bringing you and your new VA together. Our training and assessment process means that your new VA will hit the ground running without absolutely no further stress, worry or time needed on your part. What will we discuss in our first call? The aim of our first call is get to know each other and allow us to start to get a good understanding of your business. We’ll ask you all about your current business model, your aims and goals as well as any weak points that you think may need strengthening. How do we train our people? Training is often done over Zoom or Skype video. We encourage the “Train the Trainer Model” for the purposes of training trainers and instructors. They learn the best possible ways to deliver training materials to other team members. How long does it take to train? Training time depends on the scope and complexity of work, and if the client already has developed training materials. Most of our clients can train their staff in as little as 3-4 weeks, if not sooner. Can we train face to face? Yes. Your employees are welcome to visit the Philippines to train their staff in person. In other cases we have sent key team members to the client’s site for in-person training.

Now that we are happy we have the perfect match for your business, it’s time to get them on board.
Firstly, we will arrange a call between you, your new VA and your WV Virtual assigned manager. This kick-starter call is a great chance to get to know your new VA and make sure that you are confident that they will be the right fit for your business needs.

Once you’re happy that everything and everyone is in order, it’s time to put your new VA to work.

However, our level of support doesn’t stop here.

Once onboard, we will create a Slack channel between your new VA and one of our WV Virtual managers, which allows us to take a hands-on management approach so that you don’t have to.

Who is my main point of contact?

The client will enjoy a dedicated Client Success Manager who will serve as the main point of contact for any issues that may arise, throughout the life of our partnership. Your Client Success Manager will also conduct a 90-Day Success Planning session with you, which is scheduled soon after the Services Agreement is signed.

What if I need to replace someone?

In the rare case a team member is not performing and hitting their KPIs, they will be quickly re-trained or replaced as soon as possible. At all times the client is in complete control.

Can I manage my people myself?

Yes. Some clients just need us to recruit the team, and put them in our awesome offices, and that’s it. They want to manage the day-to-day output of their team entirely themselves, and that’s fine.

Depending on your business or project aims, we will set up key performance indicators (KPIs) for your virtual assistant to hit.

We use these KPIs to track the level of performance you are receiving from your VA and will report them back to you at daily, weekly or monthly intervals – whichever you prefer.

KPI reporting can be a great way to visualise the impact that your VAs are having on your business, as well as their individual performance.

We track and monitor all of our onboarded VAs closely using Hubstaff to ensure that they are doing exactly what they are supposed to be doing when they are on the clock for you.

The tracking and monitoring systems we put in place give you peace of mind and absolute trust that your virtual assistants are working hard to help build your business.

What KPI’s do you track?

The KPI’s that we track vary depending on the roles of your virtual assistants. Some examples of KPI’s include; Appointments/ Calls Booked, Email Open Rate, Customer Conversion, Data Entry Sheets Completed, Leads Contacted.

Can you track KPI’s for existing staff?

We have virtual assistants available to implement and track KPIs for existing UK based workforces. Our VA’s will track and monitor KPIs on your behalf and can report back to you at whatever intervals you choose.

do you target kpis?

We set target KPI benchmarks as standard at WV Virtual. These are internal targets that all of our VA’s are expected to hit in order to ensure we are offering the best possible service to our clients at all times. If you need or want to implement KPIs specific to your business or project, we can arrange this too.

Why do you track KPIs?

KPI’s allow you a real world picture of exactly what your staff are doing and how well they are doing it. We have consistently found that companies lose track of ‘minor’ tasks that their staff are performing day to day. These tasks are likely costing you an eyewatering amount of money. Tracking KPI’s allows you to stay on top of this in a simple, easy and time effective manor.

For example, a training session for our administrators might cover time management, task efficiency strategies or build on relevant industry knowledge. In comparison, a training session for outreach assistants could cover topics like conversion analysis or social media guideline reviews.

can I train my virtual assistants myself?

Do I have to pay for VA Training?

No, you will never have to pay an additional cost for our in-house training of your virtual assistants. This is all covered within the service fee’s.
